HireAI ("we", "our", "us") operates hire-ai.in, an AI-powered hiring platform for recruiting teams. This Privacy Policy explains what information we collect, how we use it, and what rights you have over your data.

We take data privacy seriously. We collect only what we need to deliver our service and we do not sell or share your data with third parties for commercial purposes.

Data We Collect

We collect the following categories of data:

• Account information — your name, work email address, and company name when you register or invite team members.
• Candidate data — resumes, cover letters, screening responses, and assessment results that you or your candidates upload or generate through the platform.
• Payment and billing information — your payment method details, billing address, and transaction history. Card numbers are processed and stored securely by our payment provider; we never store raw card data on our servers.
• Usage data — pages you visit, features you use, session duration, browser type, device type, and IP address. We also use cookies and similar technologies to remember your preferences and keep you signed in.

How We Use Your Data

We use the data we collect to:

• Operate and deliver the HireAI platform to your team
• Process and analyse resumes and candidate applications using AI
• Send transactional emails — account setup, billing receipts, and platform alerts
• Troubleshoot issues, improve platform performance, and develop new features
• Process subscription payments and manage your billing

We do not use your data for advertising, and we do not sell it to any third party.

Third-Party AI Processing

To power resume parsing and candidate screening, we send candidate data — including resume content — to third-party AI providers. These providers process data strictly on our behalf under contractual agreements that prohibit them from:

• Using your data to train or improve their own models
• Sharing your data with any other party
• Retaining your data beyond what is needed to fulfil our request

Candidate data is never sold, licensed, or shared externally for any commercial purpose.

Data Retention

We retain your data for as long as your account is active. When you close your account, we retain account and billing data for up to 90 days to handle any final billing queries, after which it is permanently deleted.

Candidate data is retained according to your organisation's configuration. You can delete individual candidate records at any time from within the platform. You may also request full deletion of all data by contacting us.

Security

We use industry-standard safeguards to protect your data:

• All data is encrypted in transit using TLS and encrypted at rest
• Access to production systems is restricted to authorised HireAI personnel
• Sensitive data such as resume content and payment details is never written to application logs

No system is completely immune to risk. If you believe your account has been compromised, please contact us immediately at privacy@hire-ai.in.

Your Rights

You have the right to:

• Access — request a copy of the personal data we hold about you
• Correct — ask us to fix inaccurate or incomplete information
• Delete — request that we delete your personal data
